Earlier versions of Microsoft Outlook had a file size limit of 2 GB for .PST files and going over that limit could cause some pretty major problems. Fortunately Outlook 2007 has a 20 GB file size limit but you should still keep a regular eye on your PST (Personal Storage) and OST (Offline Storage) file size to ensure it doesn’t grow unnecessarily large.
To check on the size of your PST file
- Go to Outlook and right-click the relevant folder in the Folder List
- Click on the Folder Size tab
Over time the PST file will grow large – you can address this by compacting the folder – to do this:
- Go to Outlook and select Tools
- Select Account Settings
- Select the Data Files tab
- Click on the relevant PST file
- Select Settings
- Select Compact Now on the General Tab
To compact the OST offline file (remember to empty the deleted items folder first if necessary):
- Go to Outlook and select Tools
- Select Account Settings
- Select the E-mail tab
- Click on Microsoft Exchange
- Select Change then click on the button More Settings
- Select the Advanced Tab then click on the button Offline Folder File Settings
- Select the button Compact Now
