Paperless Office. Say goodbye to the paper trail

Paperless Office - Bah! Some users have a hard time saying goodbye to paper. E-mails are one of the worst. Monk and I have often seen people printing out every mail as they arrive and keeping them in row after row of filing cabinets in order to be able ‘cover their backs’ or something similar. Never mind the fact that we actually archive all email for posterity using GFI MailArchiver.
Mind you, we’ve also seen times when people print out emails only to photocopy them and fax them onwards to other people! Now don’t get me going on photocopiers - no I tell you - I won’t do it.

    I think “less paper” should be the mantra.

    Three things make going paperless more viable today, 1) big, cheap disks, 2) fast, cheap duplex scanners, 3) faster computer & communication speeds.

    Now that great scanners are available for around $600 to $700, and are small, desktop units, it is easy to justify their expense compared to the cost of a lateral filing cabinet.

    But to be successful, one needs to set up their electronic filing system ahead of time so that the process is fast, easy, and accurate keeping in mind future retrieval.

    I’ve cut way back on my paper filing and document the process in my ebook, Paperless Office, from Myth to Reality. It’s a step-by-step guide on how to do it, from what to look for in equipment, to setting up your filing system ahead of time, and everyday processes like backup and whether or not to use two monitors so you can have images on one side (big enough so you can read it) with applications on the other.

    I think you’ll see more people going for less paper when they see how easy it is if you set up your system right in the first place and use these new, fast, cheap duplex scanners.
